Hello! Thank you for volunteering your time to be a leader in the Health Physics Society. Serving as a committee chair is a valuable experience that will hone your administrative skills, enhance your resume, and extend your network of health physics professionals.

What to Expect as a Committee Chair:

  • Committee member terms:
    • Committee member terms typically last for three years.
      • The number of members the committee is supposed to have can be found in the HPS Rules (see additional information about accessing your committee’s rule below).
    • Chairs serve for one year, but may be reappointed to serve additional one-year terms.
  • Recruiting and retaining volunteers:
    • Committee members are encouraged to actively recruit and engage prospective volunteers on an ongoing basis.
    • All committee members should continually identify and cultivate new volunteer participation.
    • Sustained recruitment and engagement of new volunteers is expected of all committee members.
    • All new members must be approved by the HPS President. Your HPS Board Director can assist in appointing new members.
  • Delegation and avoiding burn-out:
    • Delegate committee tasks to other committee members when appropriate.
    • Delegation of ad-hoc responsibilities to other committee members is at the discretion of the committee chair.
  • Collaboration with other committees and participation in ad-hoc committees/task forces:
    • Communication between committees is strongly encouraged so that multiple committees do not work on the same task(s) independently.
    • A committee chair may choose to send a delegate to attend another committee’s meetings (at the discretion of the other committee’s chair) to bring back any information of importance.
    • You and your committee members may also volunteer to participate in ad-hoc committees or task forces to support the HPS Strategic Plan.
    • A listing of all HPS committees, ad hoc committees and task forces may be found here.
  • The role of the assigned Board Director is to:
    • Direct the committee’s operations.
    • Focus the committee’s operations to support the current vision of the HPS and its leadership in accordance with the committee’s rule and standard operating procedure (SOP).
    • Provide guidance on submitting annual budget requests.
  • Annual Reporting:
    • The committee chair must submit an annual report to the HPS Board of Directors each year prior to that year’s HPS Annual Meeting.
    • Reports may be submitted here.
    • A sample report is provided here.
  • Committee rules and SOPs:
    • The rules and SOPs may be found by:
      • Hovering over: (1) “Members Area” in the menu bar at the top of the HPS home page and (2) the subheading “Organization.”
      • Scrolling to “Operations.”
      • Clicking on “Rules” or “SOPs.”
    • You must be logged in as a member to access the rules and SOPs.
    • Committee rule changes must be voted on by the HPS Board of Directors. Consult with your assigned Board Director regarding any desired rule changes.
    • SOPs do not require a vote of the HPS Board of Directors, but do require a review. Consult with your assigned Board Director regarding any desired SOP changes.

Thank you for everything you do!
